“AI assistant” gets used loosely enough these days that it’s reasonable to be skeptical when someone suggests one for your plant floor. It’s worth being precise about what a factory AI assistant actually is, because it’s a much narrower and more useful thing than the phrase suggests.

What it actually is

A factory AI assistant is a voice or chat interface that answers questions using your own SOPs, manuals, specs and maintenance records — not a general-purpose chatbot pulling from the open internet. Under the hood, it typically works by searching your own documents for the relevant passage and answering from that content, with a reference back to the source document.

That distinction matters. A general AI chatbot might give you a plausible-sounding but wrong torque spec because it’s guessing from generic training data. A factory AI assistant built on your own documentation gives you the spec that’s actually in your maintenance manual — or tells you it can’t find one, rather than making one up.

Realistic use cases

The useful cases tend to be narrow and specific, not sweeping:

  • A technician asks a spec instead of digging through a binder. “What’s the torque spec for this fitting on line 3?” gets answered in seconds from the actual maintenance manual, instead of a five-minute search through a binder or shared drive.
  • A new hire asks what to do when an alarm fires. Rather than paging a supervisor or guessing, they get the documented response procedure immediately — useful especially on off-shifts when fewer experienced people are around.
  • Someone needs to find the current version of a procedure fast. Instead of hunting through folders for the right revision, they ask directly and get pointed to the current, correct document.

Notice what these have in common: they’re all cases where the answer already exists in your documentation, and the value is in surfacing it faster than a person could find it manually.

What it can’t do

It’s just as important to be clear about the limits, because overselling this is how AI projects lose credibility on the floor.

  • It’s not a replacement for training. An assistant that can recite a procedure doesn’t substitute for a worker actually understanding the process, the equipment and the safety context around it.
  • It won’t fix bad or missing source documentation. If your SOPs are outdated, incomplete or wrong, an AI assistant will retrieve and confidently repeat that same outdated or wrong information — faster than before, which can make things worse, not better.
  • It needs accurate source content to be trustworthy at all. The assistant is only as good as what it’s built on. This isn’t a nice-to-have caveat — it’s the central requirement. A factory AI assistant built on a poorly maintained document set is not a shortcut around fixing the document set.

If your documentation has real gaps, the right first step is closing those gaps — an AI assistant built on top of them afterward is far more useful than one deployed to paper over them.

A plain-language readiness checklist

Before evaluating vendors or tools, it’s worth being honest with yourself about a few things:

  • Do you have SOPs and manuals in digital form (even as PDFs), or are they still mostly on paper?
  • Are your current documents reasonably accurate and up to date — or is there a known backlog of outdated versions in circulation?
  • Is there a clear owner for keeping documentation current going forward, or would an assistant just be searching a set of documents nobody maintains?
  • Do you have a specific, narrow use case in mind — a particular line, a particular class of question — rather than a vague goal of “AI for the plant”?
  • Is there floor-level buy-in, or would this be introduced as a top-down mandate nobody asked for?

If most of these are “yes,” a pilot is likely to go well. If most are “no,” the more valuable first step is probably documentation cleanup, not an AI tool.
